The Chapin School, an independent K-12 day school for girls located in New York City, seeks a collaborative, and innovative professional to serve as a Human Resources Associate.

The Human Resources Associate (HRA) provides administrative support to the Human Resources Department. Reporting to the Director of Human Resources, the HRA will help with payroll, recruitment, onboarding, maintenance of all employee records (paper files and electronic), and HR compliance. The HRA will be a key part of ensuring the HR department runs efficiently and is promptly responsive to the needs of Chapin’s Professional Community.

Responsibilities of the position

  • Support Chapin’s recruitment processes by posting openings and coordinating tasks within the applicant tracking system for all open positions

  • Assist with recruiting tasks such as reviewing resumes, and following up with candidates once an offer has been extended

  • Under the direction of the Director of HR, prepare and process the bi-weekly payroll

  • Track employee attendance, PTO, and leaves, and assist with payroll processing and documentation

  • Process employee leave requests for FMLA, PFL, LTD etc

  • Follow up on new hire background checks and process recurring checks for current employees to maintain up to date and accurate documentation of all employees

  • Process employee benefit enrollments and communicate with employees on any changes related to benefit coverage

  • Responsible for data entry on monthly 403b plan remittance reconciling it to the monthly payroll

  • Ensure new hire onboarding checklist is complete  

  • Communicate with Division Heads and Department Heads and the Director of Technology when employees have completed all required items and are eligible to begin employment

  • Maintain current certificates of employees' mandatory training, including sexual harassment and mandated reporter trainings

  • Support the Director of Human Resources in the collection and analysis of employee data; prepare spreadsheets and reports

Required qualifications

  • Bachelor's degree

  • 2-3 years experience in an administrative role

  • Strong attention to detail

  • Proficiency in administrative duties such as communications, data entry, and record keeping

  • Enthusiasm for working within a team environment

  • Discretion and professionalism when it comes to handling confidential information and addressing employee concerns

  • Proficiency with technology, and the ability to pick up new software easily

Preferred qualifications

  • 2-3 years experience in a Human Resources administrative support role

  • Understanding of labor laws

  • Interested in pursuing a professional Human Resources certification (SHRM or HRCI)

The compensation for this position will be commensurate with experience, the annual salary range is $65,000-$72,000.
